#### Over deze app

De Werkplek Reserveringsapp is uitsluitend bedoeld voor medewerkers van de Gemeente Amersfoort en heeft als doel om een werkplek te reserveren op één van de stadhuislocaties. Op deze manier kunnen we op een georganiseerde en veilige manier werken op het stadhuis mogelijk maken, rekening houdend met de spelregels die we daarvoor afgesproken hebben.

#### Hoe werkt de app?

Zodra je aangemeld bent zie je meteen een overzicht met de door jou gemaakte reserveringen. Door gebruik te maken van de **⋮** achter de reservering kun je deze inzien of verwijderen. Door de knop _‘Reserveren’_ te gebruiken maak je een nieuwe reservering.

Je kunt tot maximaal 21 dagen vooruit reserveren en geeft daarbij op welk dagdeel, in welk gebouw, op welke etage en in welke ruimte je wil werken. Let wel: het betreft individuele werkplekken: vergaderzalen reserveer je via Intranet en Huddle-ruimten via Outlook.

Als je deze gegevens hebt ingevuld bepaalt de app of er reservering mogelijk is. Is dit het geval, dan kies je een reden en geef je eventueel een notitie mee. Is alles ingevuld? dan klik je op _‘OK’_ en je reservering is gemaakt. Als jij dat wil bevestigen we deze mail aan je zodat je deze eenvoudig aan je agenda kunt toevoegen.

#### Welke gegevens gebruikt de App?

Omdat je je aanmeldt met je Amersfoortse account, weet de app wie jij bent. Dit is ook nodig om de reservering op jouw persoonlijke naam te kunnen doen. Daarnaast wordt in de app je e-mailadres (zodat we de reservering kunnen bevestigen en jij deze in je agenda kunt toevoegen), en bij de eerste keer inloggen vragen we je op welke afdeling je werkt. Dit laatste is nodig om te bepalen of het maximaal toegestane werkplekken per afdeling nog niet is overschreden.

In de app zit ook een lijst met het aantal veilig te gebruiken werkplekken per gebouw/etage/ruimte. Zo zorgen we ook dat er niet te veel mensen op dezelfde plek gaan werken. Uiteraard is het daarbij wel de bedoeling dat je ook daadwerkelijk daar gaat werken waar je gereserveerd hebt.

Gemaakte reserveringen worden na het verlopen van de reserveringdatum niet binnen de app bewaard.

#### Wie kan mijn gegevens zien?

Behalve jijzelf kunnen je collega’s van jouw eigen afdeling zien welke reserveringen je gemaakt hebt. Hierdoor bevorderen we het slimmer samenwerken. Uitsluitend ten behoeve van trendanalyses en rapportages op afdeling of gebouw-niveau worden de gegevens van jouw reservering opgenomen in het gemeentelijke DataWarehouse systeem.

#### Is deze app veilig?

Samen met onze securityspecialisten en privacy experts is goed gekeken naar deze app. Deze is veilig, mede omdat het aanmelden binnen de Amersfoortse omgeving gebeurt.

#### About this app

This app was created for the municipality of Amersfoort.e Workplace Reservations App is exclusively intended for employees of the Municipality of Amersfoort and aims to reserve a workplace at one of the City Hall locations. This way we can make it possible to work at the city hall in an organized and safe manner, taking into account the rules that we have agreed on for this.

#### How does the app work?

After logging in, you will immediately see an overview of the reservations you have made. By using the **⋮** behind the reservation you can view or delete it. By using the button _'Reserve'_ you make a new reservation.

You can book up to a maximum of 21 days in advance and indicate which part of the day, in which building, on which floor and in which room you want to work. Please note: these are individual workplaces: meeting rooms can be booked via Intranet and Huddle rooms via Outlook.

Once you have entered this information, the app determines whether a reservation is possible. If this is the case, you choose a reason and possibly provide a note. After filling everything in, click on _'OK'_ and your reservation is made. If you wish, we will confirm this email to you so that you can easily add it to your agenda.

#### What data does the App use?

Because you log in with your Amersfoort account, the app knows who you are. This is also necessary to make the reservation in your personal name. In addition, your e-mail address is entered in the app (so that we can confirm the reservation and you can add it to your calendar), and when you log in for the first time, we ask you which department you work in. The latter is necessary to determine whether the maximum permitted workplaces per department has not yet been exceeded.

The app also contains a list of the number of safe workplaces per building/floor/space. In this way we also ensure that not too many people work in the same place. Of course, the intention is that you will actually work there where you have reserved.

Reservations made are not saved within the app after the reservation date has expired.

#### Who can see my data?

In addition to you, your colleagues from your own department can see which reservations you have made. This way we promote smarter collaboration. The details of your reservation are included in the municipal DataWarehouse system solely for the purpose of trend analyzes and reports at department or building level.

#### Is this app safe?

Together with our security specialists and privacy experts, this app has been carefully examined. This is safe, partly because registration takes place within the Amersfoort environment.
